Map the school’s current process
List the information and hand-offs involved in admissions, attendance, fees, examinations and parent communication. Ask office staff, teachers and administrators how exceptions are handled, not only how the process is expected to work.
Agree on records and ownership
Decide which records will move into the system, who checks them and who can update each type of information. Remove duplicate or outdated entries according to the school’s approved data-handling policy before migration.
Choose a manageable first phase
A phased rollout can begin with a clear set of users and workflows. Agree a start date that fits the academic calendar, define a fallback for time-critical work and provide staff with a place to report issues.
Train and communicate
Training should reflect each user’s responsibilities. Give teachers, office staff and administrators short task-focused guidance, and explain to families what information is changing and where they can ask questions.
Review after the first term
Collect feedback, check data quality and resolve recurring support questions. Use that review to decide which additional modules or workflow changes are ready for the next phase.
